The Challenge

Carino Care is an Australian aged care provider managing multiple residential facilities across Victoria. Their operations team was spending over 15 hours per week on manual administrative tasks — compiling resident reports, updating compliance documentation, processing incident logs, and coordinating between facilities.

The data lived across multiple systems: a care management platform, spreadsheets maintained by facility managers, email threads, and paper-based forms. Staff were spending more time on admin than on resident care.

What We Built

Lightning Ventures designed and built a custom AI integration layer that connected Carino Care’s existing systems into a unified automated workflow.

Automated report generation: An AI agent that pulls data from the care management platform, structures it against compliance templates, and generates weekly facility reports that previously took staff 3-4 hours each to compile manually.

Incident log processing: Incoming incident reports — submitted via a simple form — are automatically categorised, routed to the appropriate manager, and logged in the compliance system. The AI handles initial triage and flags anything that requires immediate attention.

Cross-facility coordination: A centralised dashboard that aggregates data from all facilities in real time, replacing the weekly email round-up that managers relied on. Staff allocation, occupancy data, and compliance status are visible at a glance.

Document automation: Routine compliance documents that required manual data entry are now auto-populated from the source systems, reviewed by staff, and filed automatically.

The Outcome

Within the first month of deployment, Carino Care’s operations team recovered over 15 hours per week of manual admin time. Compliance reports that previously took a full day to compile are now generated in minutes and require only a brief human review.

The system handles edge cases gracefully — flagging unusual data patterns for human review rather than making assumptions. This was a deliberate design choice: in aged care, accuracy matters more than speed, and the AI augments human judgement rather than replacing it.

Carino Care has since expanded the system to additional facilities, with each new facility onboarding in under a week thanks to the templated architecture.
